Terms and Conditions of Entry
These Terms and Conditions (“the Terms”) apply to the entry, on behalf of a student (“the Student”) of one artwork (“the Work”), together with an image (“the Image”) of that Work, and a short artist statement or description (“the Description”) in The Royal Academy of Arts’ (“the RA”) Young Artists’ Summer Show (“the Exhibition”) online and/or on-site at the RA.
All Work must be submitted either by a teacher, or by an adult with parental responsibility for the Student (“Parent”) on behalf of the Student.
“You” and “Your” shall refer to the person submitting the Work.
Please read these Terms carefully before completing the entry form (“the Entry Form”) as the Entry Form and these Terms, will together form the contract between You, the Student, any Parent and the RA. You will be asked to confirm that you have the permission of the Student’s or the Parent’s (if You are not a Parent) on the Entry Form.
1. The Royal Academy of Arts
1.1 The RA is a charity registered in England and Wales number 1125383 and a company limited by guarantee registered in England and Wales with number 6298947, whose registered office is at Burlington House, Piccadilly, London W1J 0BD.

2. The Exhibition
2.1 The Young Artists’ Summer Show (the ‘Exhibition’) is organised by the RA for Students, starting from age four and under the age of 19, from schools and colleges in the United Kingdom.
2.2 The Exhibition will consist of:
- an online site available to the public; and
- an on-site Exhibition of the final selected Works.
2.3 In order to submit Works, the Student’s school/college/homeschool/art club must be registered with the RA.
2.4 You may submit one Work, one Image and one Description per Student.
2.5 The Work submitted may include coursework or work created outside school.
3. The Work, Image and Description
3.1 The Work must be the Student’s own original work and not a copy. The Image must be taken by the Student (or by You with the Student’s permission).
3.2 The following types of Works, Images and Descriptions will not be accepted. Works/Images/Descriptions that:
- Exceed 950mm wide x 3000mm high.
- Pose a health and safety risk.
- Are submitted late.
- Might infringe others’ rights or break the law in any way, including copyright. Although many great artists ‘copy’ in creative ways, we are looking for original artwork. So please avoid making art with known comic, book illustration or animated characters, for example.
- Are AI-generated.
- Contain content in the artwork or artist statement that may be harmful or otherwise unsuitable to display publicly in in an exhibition for artists aged 4–18.
- Are not age appropriate.
- Contain harmful or violent imagery or words.
The RA is committed to freedom of expression and, at the same time, has a duty to safeguard the young people involved in and visiting the Exhibition. All submissions must therefore be considered in this context. This is not always possible to predict in advance and for that reason submissions will be subject to review, through the selection process described in these Terms, before they can be accepted and potentially included for display as part of the Exhibition.
4. Entry Form
4.1 The Entry Form will contain the details we require to process Your application and must be completed accurately.
5. Rules for Submission
5.1 By submitting the Work, You confirm that, to the best of Your knowledge, the Work:
- is in a condition to withstand normal handling and display at the RA.
- does not infringe others’ rights or break the law in any way, including copyright.
- is not AI-generated.
- has not been exported from any country.
5.2 If the Student does not own all of the rights, title and interest in and to the Work, You must expressly inform the RA in writing.
5.3 The RA may accept or decline any Work submitted for the Exhibition that appear to breach any of these Terms. The RA’s decision is final.
6. Submission of the Work
6.1 All films or videos must be submitted via YouTube or Vimeo (You will be required to confirm that You agree to comply with YouTube’s or Vimeo’s terms and conditions that can be found on their websites: https://www.youtube.com/ and https://vimeo.com).
7. Delivery of the Work
7.1 Details of delivery of the Work will be sent to You upon the successful selection of a Work.
8. Use of personal data
8.1 The RA will comply with all legislation regulating the processing of personal data as may be applicable from time to time in the United Kingdom, including the Data Protection Act 2018 and the EU General Data Protection Regulation 2016/679 as implemented in the UK (UK GDPR). The RA will process all personal data as defined in that legislation (“Personal Data”) in accordance with the RA’s privacy policy, updated from time-to-time https://www.royalacademy.org.uk/privacy. For these purposes, Personal Data includes information such as name, age, postal address, email address, phone number, school and school year group.
8.2 The following are conditions of entry, and you will be required to expressly confirm the same when submitting the Entry Form:
- You consent to Your data being processed by the RA for the purposes of the Exhibition;
- You have permission to submit the Entry Form on behalf of the Student;
- For Students under the age of 13, you must have acquired a Parent’s consent for processing of the Student’s Personal Data
- For Students aged 13 years and over, you must have acquired the Student’s own consent for the processing of their Personal Data
8.3 The only Personal Data of Students that the RA will display publicly are the Student’s first name and age.
8.4 Personal Data will:
- not be transferred outside the European Economic Area;
- only be used to process your application for entry to the Exhibition and to administer display and return of works where applicable
9. Permission for the RA to use the Work
9.1 The RA is required to obtain the following permissions and licences, in order to include Works in the Exhibition. You, the Student, together with a Parent (where You are not the Student’s Parent), agree to grant the following to the RA:
- a non-exclusive, worldwide, royalty free, irrevocable licence in perpetuity to use, reproduce, modify, edit, publish and distribute the Work, Image and Description for archival, educational, publicity, website, press and signage purposes, including through use of mobile applications and social networking sites.
- a non-exclusive, worldwide, royalty free, irrevocable licence in perpetuity to sub-license the rights set out in Clause 9.1(a) for the purposes of allowing mobile applications and social networking sites to host, use, distribute, modify, run, copy, publicly perform or display, translate and create derivative works of the Work, Image and/or Description on their sites.
- permission for members of the public to take photographs of the Work and/or Description (alone or in combination with other works) for personal and non-commercial use during the Exhibition period. The RA will not be responsible if any such images of the Work is exploited commercially in violation of the permission given.
10. Use of the RA logo and trade marks
10.1 You, the Student and any Parent may not use the RA’s logo or registered trademarks without written consent from the RA. Requests by Schools to use the RA logo for the purposes of promoting a student’s participation in the Exhibition should be made by email to [email protected].
11. Selection process
11.1 All submitted Works, Images and accompanying text will be subject to the following selection process:
- An initial filtering of all Works by RA staff;
- Sensitivity Board review;
- Judging by two selection panels: one for primary-aged Students one for secondary-aged Students
- Final review to consider compliance with these Terms;
- Inclusion of selected Works in the Exhibition.
12. Collection of Work
12.1 No Work that has been accepted and displayed at the on-site Exhibition may be removed prior to the close of the Exhibition.
12.2 You will be informed of the specific details for collection upon the successful selection of a Work.
13. Limitation of Liability
13.1 While the RA endeavours to ensure that the Young Artists’ Summer Show webpage is available 24 hours a day, the RA will not be liable if for any reason the webpage is unavailable in part or whole at any time or for any period.
13.2 The RA shall not be liable for any deterioration or wear and tear to the Work, or any loss, damage or destruction (including damage to frames) through the ordinary course of handling the Work.
13.3 Subject to clause 14.2, the RA will only be liable for damage to a Work while the Work is at the RA. If You suspect any such damage, You must notify the RA before the Work is collected otherwise the RA will not be liable for any such damage.
13.4 Nothing in these Terms shall have the effect of limiting or excluding any party’s liability for death or personal injury caused by its own negligence or caused by its fraud (including fraudulent misrepresentation).
14. Third Parties
14.1 No third party shall have any rights under or in relation to these Terms.
15. Force Majeure
15.1 For the purposes of these Terms, a Force Majeure Event means an event beyond the reasonable control of the RA. The RA shall not be liable to You, the Student or any Parent under these Terms as a result of a Force Majeure Event.
16. Severance
16.1 If a court finds any of the Terms invalid, illegal or unenforceable, that particular Term shall be deemed deleted, and the validity and enforceability of the other Terms shall not be affected.
17. Law and Jurisdiction
17.1 These Terms, the Entry Form and the contract of which they form part shall be governed by and construed in accordance with English law. Any disputes arising in relation to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
